International survey finds that 2013 looks a lot like 1993.

Survey on data gathering

How do business professionals gather data today? Where is the strategic information of companies stored? Are users happy with this situation?

When Markus and I met while we were both consultants at Accenture, we saw how data collection is done. At that time, we actually brought a major Telecommunications provider a big step forward in structured data gathering. In the 10 years that followed, we saw the same topic in many other companies, while we were working in strategy, reporting, analysis and finance roles in various industries.

So we had pretty good hypotheses regarding the questions above, but before starting Go Fetch It, we wanted to validate them with an survey among international business professionals. And so we did. We got over 200 completed surveys back, with a great mix of industries, levels and professions. A big thank you to everybody who participated.

Let's dive into the results and our key insights.

1. Today's world is a data driven world.

An astonishing 97% of respondents consider it part of their job to gather data, like project status, financial data, team information, or supplier data.

2. Flexibility is key, speed is crucial.

Maybe you won't find it that surprising that 98% of "data gatherers" use Excel or Outlook. But how about the fact that 81% of them consider email or spreadsheets their principal tool to do so?

Why is that? Our experience shows that data requests seldom come with a 3-month lead time. You can be lucky to have 3 days. There is no time to waste, no time to deal with sophisticated user management, no time to brief the IT department and have them build a solution.

3. Process and data security often come second.

Outlook and Excel are great tools. They are easy to use and they get the job done. But they come with caveats.

  • Process efficiency: 54% of the people who rely on email to collect data complain about people replying late to their requests—even more are unhappy about the need to send manual reminders.
  • Data quality: 64% of the people who collect data with spreadsheets complain how difficult it is to consolidate data from various sources.
  • Data safety, security and audit risk: Two thirds of respondents see issues with their current approach. Strategic data stored in Outlook doesn't seem like a good idea. Providing evidence about the source of a specific data item for an audit, six months after the data collection was done? Difficult.

Can it be done better? We think so.

Rogr.io makes data collection from various recipients easy, while being secure and flexible. Try it for free, or check out our blog for some use cases. Follow us on @rogr_io for news and updates.
